Add or correct a participant

  1. Search for the existing person or organization first to avoid a duplicate.

  2. If creation is required, enter only confirmed contact details and the correct professional organization.

  3. Add the appropriate affiliation or project record and its effective dates when requested.

  4. Choose the project role or roles that describe the participant’s actual mandate.

  5. Keep the item private or share it only after verifying the intended scope.

Important controls

  • A similar email address is not enough to merge two identities.
  • An organization role and a project role serve different purposes.
  • An end date can make access or a role inactive without deleting history.
  • A shared participant must be eligible within the accepted organization scope.

Practical guidance

A participant record, an invitation and accepted access are separate states. Adding an organization or person records their relationship to the project; use the offered invitation action when access is required and verify its status. Review the private or shared side and the participant’s actual role before changing an affiliation.

Advanced tips

Search for an existing person or organization before adding another. Similar names and email signatures are not proof of identity. If an invitation is pending, review that invitation instead of creating another participant to make access appear complete.
