Establish and manage the shared side of a project space
Confirm sharing eligibility, participating organizations, and private or shared scope before saving.
In this article
Open the project space and verify that a shared side is actually available.
Review organizations and their project records; sharing depends on participating organizations and the state returned by the service.
Confirm affiliations and roles before placing data on the shared side.
Use the Private or Shared selector in sections that provide it.
Save summary changes separately from a status change.
If a status change starts a workflow, wait for its result and notification instead of repeating the action.
Practical guidance
Open the shared side and confirm that the project is eligible for collaboration and that your role permits the intended edit. Shared participants, narrative and other shared items have their own controls. Review the audience before moving a private item into the shared side and verify the resulting list after saving.
Advanced tips
Treat a disabled transfer action as a permission or eligibility boundary, not a reason to copy the same content into a broadly visible note. Ask the project owner to confirm the intended sharing arrangement and retain private working notes on the appropriate side.
